This page updated for the upcoming 2010-2011 season. Please note the highlighted items which are changes from previous procedures.

Yearly Team Registration -

For ease of understanding, the initial registration process is broken into two rounds. Updated Mar 2009.

1.)  First Round- Information Packet Assembly

  • Copy of Proof of Age - This is normally a copy of an official birth certificate. New for 2010-2011 year.  All Birth Certificates copies will be retained in the RMAYSA files per NCYSA.
  • Copy of Insurance Card - Retain these for your team manager's book.
  • NCYSA Code of Conduct - signed by parents. Code of Conduct

  • Medical Release Forms - These are the two part forms which require a parent signature. Your registrar will provide these for you. One copy will be kept for your managers book & one for the RMAYSA records.   Informing your parents of the required information before hand will make the process go smoother.  Information which will be required of each player for this form:
    • Use legal names. First Name, Middle Initial, and Last Name. (no nicknames please)
    • Emergency contact information - Provide the phone & address of  your doctor and close family member or friend
    • Team name &  Age bracket - Classic teams will use the year of their bracket (i.e. '93 RMAYSA HEAT) Challenge teams will use the age bracket itself (i.e. U-14 RMAYSA Inferno Challenge Boys)
    • Insurance information - Have copied insurance cards for the managers book.  This may expedite emergency care should that need arise.  Some players will have no insurance.  This does not prevent them from playing.
    • Medical Information required for each player includes date of last tetanus shot, known allergies,  serious medical conditions and current prescriptions. If there is nothing to report, please fill in these blanks with "none or NA" to ensure the medical staff complete understanding of the information.
    • Make sure to include the player jersey number.  This is critical information that is required.
  • RMAYSA Association Fee of $78 will be due at First Round Registration Packet Submittal- This will include all costs for the player for the upcoming soccer year including NCYSA registration and all RMAYSA Administration costs etc.  No other fee will be assessed.  Please make a single check out to RMAYSA for the required amount.
  • Use this time to collect digital photos of all players & team staff for passcards.  These will need to be only head shots.  No hats or glasses.  Final photos will need to be 1 tp 1.25" high and rectangular at about 1" wide.  Most teams will have at least one parent who can assemble these but if you need assistance, your registrars can help out. You will need these printed out by player passcard day.

NCYSA will not return passcards & roster packets until all Risk Management Assessments have been completed on your team's coaches and managers.  All assessments are good for two years but second year coaches/managers must still check in the Risk Management Link to be remain current.

Risk Assessment must be completed due before Round One Package Submittal

2.)  Packet Submittal to NCYSA-

After your teams first round packet is complete, and risk management is processed, your registrar will send all off to NCYSA along with registration fees and other required forms.  If there are no corrections with the paperwork, the returning packet from NCYSA based on first play date.  Your registrar will notify you and set up a date to meet with all players for the second round of registration. Please work to get as many players present for this date as possible.

Due Date for packet submittal to registrars-

  • July 10th for all teams participating in year round play.
  • All U15 boys teams and older will play only Spring season.  Your regular due date for first round registration submittal is Sept 1 if you have no tournament play that conflicts. Please contact your registrar if you need to extend that time frame.

Please note these dates allow only  a short time for your registrar to accomplish the additional paperwork for NCYSA for all the select teams. Teams which complete all the initial packet the week before will be given extra smiles from the registrar!

3.)   Second Round Registration- Player Passcard Day

  • Player Passes - Each player will be photographed and required to sign their player pass in the prescence of the registrar. The passes will then be red-stamped, signed,  and assembled with lamination by a registrar.  These will be given to you for your manager's book to present at all games.  Protect them.  They will need to be returned to the registrar at the end of the year for the entire team or when a player leaves the team.
  • Your registrar will provide you with a pdf electronic file of your Official (red-stamped) Team Rosters and Match rosters which you may print as you need.
  • Teams must return old player passcards to the Registrar before receiving their new passcards. Passcards remain the property of NCYSA...not the team or player.
Managers -  Please try to get as many players present at your Player passcard appointment as possible.  Any players missing the initial Team Player Passcard date may attend another teams passcard appointment.  Please arrange with your registrar concerning this.

Additional Registration Services-

Throughout the year, teams may have need of additional registrar services. Feel free to call upon any of our RMAYSA Registrars to assist you.    Many requests are related to tournament play.  Please do not wait until the day before departure.  Please give reasonable time to accomplish your request.

  • Additions & deletions from your team roster or coaching staff-

These must be to your registrar by eight days before any tournament in order to fulfill NCYSA rules and get your official paperwork & passcards returned.

  • Additional Official Match Rosters for Tournaments - Registrar stamped

Please allow several days to respond to these requests.

  • Player guest passes & roster-

Any select player which participates in a practice, game, or tournament with another Select team must have a Guest Pass signed by both coaches and the registrar.  This form may be made out for a single day or as required so that mutliple forms will not be required for additional days as a guest.  These forms are available from your registrar and online at www.ncsoccer.org.   If you sign a guest pass for your player or recieve a guest player pass from another team, please provide a copy to your registrar for the team file.

Teams which utilize guest players for tournaments must have a Guest Player Roster as an addendum to their original match roster. See your registrar for this and allow several days for completion. Contact your tournament administration for their rules on guest players as these will vary.

                  Player Release Information

Coach's Responsibility - When a coach extends an invitation to a player to join the team,  the coach is making a commitment to that player for the year,  for the development of the team and each individual of that team.  The player may not be unwillingly removed from the team because of lack of skill, lack of commitment, a better player came along etc.  A player MAY be removed by the Association for moving from the area, season ending injury, or severe infraction of Code of Conduct.  It is not the Coach who decides to remove a player from the team.

Player's Responsibility - When a player SIGNS his/her passcard, they are making an earnest commitment for the entire soccer year to that team and to follow the NCYSA Code of Conduct. They promise not play or practice with any other team for the year without full consent of their coach (guest player form).  The player however retains the right to be released from their carded team and may do so at anytime with the signature of the parent.  Keep in mind , players wishing to join another team, will be required to follow the rules for such depending on the type of transfer it is.  Please contact your registrar for information.  In any case,  no try-out may occur without the Carded Coaches consent (guest player form) or an official release from the carded team in place.
